Who owns your business WhatsApp number?

Published August 19, 2026By Brian Sasbon4 min read

The short answer, and why it matters

Who owns your business WhatsApp number comes down to one thing: which Meta account it is registered in.

Meta defines it plainly. A WhatsApp Business account belongs to a single business portfolio, and two portfolios cannot own the same account. If that portfolio is your provider's, the number sits on their side.

This is not a technicality. It is the difference between being able to switch providers and having to start over with a new number.

How to work out where you stand

Three questions you can answer today, without calling anybody.

  1. Do you log into the Business Manager where the number lives? If you have never seen that screen, bad sign.
  2. Is your business listed as the account owner, or does your provider's name appear?
  3. Could you grant access to another provider without asking the current one for permission?

If all three answers are uncomfortable, you are in the setup worth fixing before you need it fixed.

The two possible setups

SetupWho owns itWhat happens if you want to leave
Your account, provider has accessYour businessYou revoke their access and grant it to somebody else
The provider's accountYour providerYou depend on them cooperating

The first is the healthy one, and it takes nothing away from the provider. They can work exactly the same, with the same permissions and the same tools. The only thing that changes is who holds the key.

"We manage it for you" is not the same as "it's ours"

And it is worth not confusing them, because there are serious providers who manage without appropriating.

Managing means having access to configure, send and fix problems. Owning means being listed as the account holder. A provider can do all of the first without ever having the second.

When you ask, ask them to show you the screen. Ownership is something you see, not something you get explained.

What Meta says about switching providers

The path exists, and it is documented.

Meta publishes the procedure for migrating a number from one solution provider to another, with its own signup flow. Which means changing provider without changing number is something the platform anticipates, not a favour somebody does you.

Knowing that path exists changes the conversation. A provider who tells you it is impossible is telling you something else.

Why the number is more than a number

Because it is the only part of your digital operation that cannot be rebuilt.

Your contacts saved that number. It is printed on your invoices, on your shopfront, on your labels. It is on your business's Google listing and in the chat of every customer who has ever written to you.

A number change does not get communicated: it gets lost. Some share of people keep writing to the old one for years.

What the connection should look like

The setup we recommend is the boring one, and it is the one that protects you.

The number is registered in your business's Meta account. The connection goes through an official Meta technology provider, and your software provider works with access, not with ownership. We never touch your Meta credentials at any point.

It is harder to sell than "we take care of everything". It is what lets you leave.

What happens to the conversation history

That is the second question, and it has a less tidy answer.

The number travels. The history depends on where it is stored and how the migration is set up: if your conversations live on the provider's platform, they come out with whatever that platform allows you to export.

Ask before you sign, alongside the first question. Both take a minute to answer and are worth months.

Key takeaways

  • A WhatsApp Business account belongs to a single business portfolio, per Meta.
  • If your provider registered the number in their own account, the number ended up on their side.
  • Managing the number and owning the number are two different things.
  • Meta documents how to migrate a number from one solution provider to another.
  • The number is the only part of your operation that cannot be rebuilt if it is lost.
  • Ask about the conversation history too: it travels differently from the number.

Frequently asked questions

How do I know whether the number is in my name?
By logging into the Business Manager where the account is registered and looking at who is listed as owner. If you have never had access to that screen, that is already the answer.
Can I switch providers without changing my number?
Yes. Meta documents the process for migrating a number from one solution provider to another. It is simpler when the account is already in your business's name.
Is it wrong for my provider to administer the account?
No. What is worth avoiding is them being the account holder. A provider can hold every permission they need to work without being listed as the owner.
What happens to my conversations if I leave?
It depends on where they are stored and what export the platform you use allows. Worth asking before signing up, not once you have decided to leave.
Can I use the same number on the WhatsApp Business app and with the API?
It depends on how the signup is done. Meta supports migrating an existing number into a business account, and some signup flows let you keep using the app. Confirm it before migrating, because not every path behaves the same.
