What an AI virtual assistant does in your business
An AI virtual assistant does two different jobs. Outside, it serves your customers on the channels where they already message you. Inside, it helps your team find data and get the day's tasks done.
Many tools only do the first job. They reply on WhatsApp or Instagram and stop there. The second job is the one that gives an owner the most time back: knowing what happened yesterday without digging through spreadsheets, chats and notes.
An AI virtual assistant understands what people write in their own words. Nobody has to pick option 2 from a menu. If someone asks "do you have the oak table in 63 inches, and can it arrive before Friday?", it reads the whole question, checks your catalog and answers both parts. Helping your team from inside the business
The second job happens in the Panel, on your team's side. There, any team member asks Orbi about the business, the way they would ask a coworker who has everything at hand:
- "How many orders were left pending yesterday?"
- "What did we sell to Mary Johnson this month?"
- "How many conversations went to a person this week?"
- "Create an order of two boxes for Lucy."
Orbi answers with the data in your Panel: orders, contacts, catalog and conversations. When you ask it to do something, like create an order or change its status, it shows you the change and waits for your confirmation. If you reject it, nothing happens.
It works with the permissions of whoever asks. If a team member can't delete orders in the Panel, they can't delete them through Orbi either. So you can give the whole team access without opening a new door.

What it should not handle alone
A good virtual assistant knows where its job ends. Some conversations are better taken by a person, and you decide which ones:
- A complaint from an upset customer.
- A discount or an exception outside your price list.
- A medical or legal question that needs a professional.
- Anything your business prefers to handle in person.
For those cases Orbi has two ways out. It can hand the conversation to your team and stop replying, following the rules you write. Or it can ask your team one specific question, tell the customer it is checking, and continue once someone answers. The question reaches the Inbox of the right person.
When Orbi is missing a fact, it asks your team instead of guessing. And since every action is noted in the chat, you can see what it answered, what it created and why.

How it learns the way your business works
Orbi learns from three sources, and you control all three.
The first is your information. Your business profile with hours, locations and frequent questions. Your documents. Your catalog, built in the Panel or synced from your store. Orbi answers from there, and asks about what is not there. More on AI that answers from your documents.
The second is your apps. If you already use Shopify, Google Calendar, Google Sheets or HubSpot, Orbi works in them from the Alumbra Apps Marketplace. Nobody has to copy data by hand from one system to another.
The third is learnings. When your team answers one of Orbi's questions, Orbi draws a business rule from that answer and proposes it. If a team member approves it, Orbi uses it in the next conversations. If not, it stays out. A learning describes how the business works, never a person.

Privacy, permissions and what stays visible
Giving an AI access to your business feels risky. Before you sign up for any assistant, ask what it sees and what it can do.
- Each business's data stays separate. What Orbi learns in yours never shows up in someone else's.
- Orbi Copilot only does what the asking team member can do in the Panel, and asks for confirmation before changing anything.
- Every action Orbi takes with a customer is recorded in the conversation.
- If a customer asks whether they are talking to a person, Orbi says it is a virtual assistant. You choose whether it also introduces itself that way in the first message.
- You can pause Orbi anytime, and your team can take over any conversation on the spot.

A human virtual assistant is a person who works remotely for your business. An AI one is software. Each is good at different things, and many businesses end up using both.
- Hours: the person works a shift. The AI answers at 3 a.m. and on a holiday.
- Volume: the person handles one conversation at a time. The AI handles many at once, so nobody waits.
- Languages: Orbi replies to each customer in the language they write in.
- Getting started: a person has to be found, interviewed and trained. Orbi gets your business information and you can test it the same day.
- Judgment: a person negotiates, calms an upset customer and solves what never happened before. That is where the AI should hand the conversation over.

How to start with an AI virtual assistant in one week
Getting started takes no coding and no new hires. Here is one possible plan for the first week:
- Day 1: fill in your business profile with hours, locations and the questions you get most.
- Day 2: load your catalog or connect your store, and upload the documents your team looks things up in.
- Day 3: write the rules. Which cases go to a person, and how you want Orbi to talk.
- Day 4: test it in Channel Mode. Write to Orbi as if you were a customer and see what it answers.
- Day 5: connect WhatsApp through the official route and, if you want, Instagram and your website chat.
- After that: read the conversations, approve learnings and adjust the rules.
